1. Purpose
This policy sets out Murzo Group's approach to general product safety, technical documentation, design risk assessment, testing, conformity evidence, instructions, warnings, labelling, importer and distributor responsibilities, and product records.
The purpose is to ensure products placed on the market, supplied, imported, distributed, demonstrated, loaned, sampled, or developed by Murzo Group are assessed for safety, legal compliance, foreseeable use, and foreseeable misuse before release.
2. Scope
This policy applies to consumer products, professional products, fashion items, textiles, equipment, prototypes, samples, packaging, food-contact items, security products, cultural object mounts or displays, farming equipment, designed objects, imported goods, white-label goods, and private-label goods where Murzo Group has responsibility or influence.
Food safety, allergen, novel food, chemical, cultural object, customs, export control, and product recall policies may also apply.
3. Product Safety Principles
Murzo Group must not knowingly place unsafe products on the market or supply products where safety, identity, labelling, instructions, or legal compliance is uncertain.
- Products should be safe in normal and reasonably foreseeable use
- Product risk assessment must consider users, vulnerable users, foreseeable misuse, environment, maintenance, storage, transport, and disposal
- Safety claims, compliance claims, age suitability, material claims, and performance claims must be supported by evidence
- Relevant instructions, warnings, labels, traceability information, and customer information must be clear and controlled
- Product safety concerns must be escalated and affected products held where necessary
4. Design & Risk Assessment
Product development and sourcing should include a proportionate safety review before approval. The review should consider mechanical, electrical, thermal, chemical, biological, fire, choking, strangulation, ingestion, allergen, sharp edge, stability, flammability, migration, contamination, data, cybersecurity, and misuse risks where relevant.
Higher-risk products may require independent testing, expert review, certification, conformity assessment, user trials, or legal advice.
5. Technical File Requirements
Murzo Group should maintain technical files proportionate to product risk and legal requirements.
- Product description, intended use, variants, images, drawings, specifications, bill of materials, supplier details, and manufacturing information
- Risk assessments, standards considered, test reports, certificates, declarations, conformity evidence, and design approvals
- Labels, warnings, instructions, packaging artwork, claims approvals, translations, batch or serial coding, and traceability information
- Import records, customs documents, supplier evidence, material safety evidence, corrective actions, complaints, incidents, and recall decisions
- Change-control records showing design, material, supplier, manufacturing, label, or market changes
6. Testing, Standards & Conformity
Where a product is subject to specific safety laws, standards, UKCA, CE, sector regulation, or destination-market requirements, Murzo Group must identify the applicable rules before supply.
Testing and certification must be carried out by suitable internal or external parties where required. Test reports must correspond to the actual product, materials, supplier, manufacturing site, market, and version being supplied.
7. Supplier, Importer & Distributor Controls
Murzo Group may be treated as manufacturer, importer, distributor, or responsible supplier depending on the transaction and market. Responsibilities must be identified before goods are imported, labelled, sold, or supplied.
Suppliers must provide accurate product safety evidence, technical documentation, traceability, material information, instructions, labelling, and incident support where required.
8. Labelling, Instructions & Warnings
Product labels, warnings, instructions, safety information, age restrictions, care instructions, use restrictions, disposal instructions, and online product listings must be accurate, legible, durable where required, and suitable for the market.
Translations must be reviewed where required by destination law or customer use.
9. Product Incidents & Corrective Action
Complaints, injuries, near misses, safety alerts, authority notices, supplier alerts, test failures, counterfeit concerns, or product defects must be reviewed promptly.
Murzo Group may hold stock, stop sale, amend instructions, modify products, notify customers, notify authorities, initiate withdrawal or recall, or seek insurer and legal support.
10. Records, Review & Responsibilities
Murzo Group will keep product safety and technical file records for suitable retention periods based on product type, legal duties, expected product life, market, and claim risk.
Product owners, design leads, procurement leads, quality leads, logistics contacts, compliance leads, and authorised representatives are responsible for applying this policy. It will be reviewed periodically and when products, laws, markets, suppliers, or technical requirements change.
